In the days when Datapro was still essentially a one person operation, clients and prospects alike would often ask me the question ”What happens if you get hit by a bus?”.

The importance of this question cannot be overstated, and applies to technology projects both large and small.

Inherent to all customized technology solutions is the existence of a ’knowledge gap’ between the programmers and the organization. This gap exists whether the project is outsourced or undertaken in-house.

Although a customized solution is often the right solution for an organization, it comes with inherent risks that must be effectively addressed in order to ensure its long-term value.

Customized software solutions do not come with the support structure that is generally behind off-the-shelf software packages. There is no 1-800 number that can be called when the software stops functioning properly.

Much of the value of a customized solution often lies in the flexibility to continue to build upon and modify it as business needs change and grow. Without the ability to adapt and enhance the solution in a timely manner, it can lose much of its value.

Furthermore, information technology continues to be a very fluid industry, with high employee turnover and companies constantly changing hands and lines of business.

In order to mitigate these risks and ensure the long-term value of a customized solution, the following measures need to be taken:

  • The development of a robust, extensible solution foundation

  • The proper commenting of all application source code

  • The creation and upkeep of supporting technical and business-related documentation

  • Always having a copy (and a backup) of the latest application source code

  • Developing an effective process for resolving support issues and carrying out ongoing development

  • Having a plan for dealing with catastrophic failures and events

Putting these measures in place will result in a solution that can be effectively managed and supported not only by the original developers, but, if necessary, subsequent providers.

Without these measures, the limitations or departure of the original developers will often render a solution valueless, and in doing so can put the health and success of the company in jeopardy.

The marginally higher up-front costs associated with implementing these measures will pay for themselves over and over again by helping to guarantee a solution that retains its value over the long term.
